Inspire Management Training Centre is seeking a professional and friendly Receptionist to join our team. As a receptionist, you will be the first point of contact for visitors and clients, providing a warm and welcoming atmosphere. You will handle incoming calls, manage inquiries, and provide administrative support to ensure smooth operations of the training center.
**Duties/Responsibilities**:
- Greet and welcome visitors in a courteous and professional manner.
- Answer and direct phone calls to the appropriate staff members.
- Provide information about our training programs, services, and upcoming events to callers and visitors.
- Assist with the registration process for training programs, ensuring accurate and complete documentation.
- Manage the reception area, ensuring it is clean, organized, and presentable.
- Receive and distribute incoming mail, packages, and deliveries.
- Maintain a visitor log and issue visitor badges as necessary.
- Handle general administrative tasks such as filing, photocopying, and data entry.
- Schedule appointments and manage meeting room bookings.
- Collaborate with internal teams to ensure effective communication and coordination.
- Assist with maintaining office supplies and inventory.
- Handle inquiries and resolve complaints in a professional and timely manner.
- Uphold a high level of confidentiality regarding sensitive information.

- Excellent communication and interpersonal skills, with a friendly and approachable demeanor.
- Strong customer service orientation, with the ability to handle inquiries and requests effectively.
- Proficient in using office equipment, including telephone systems, printers, and scanners.
- Exceptional organizational and multitasking abilities to manage various tasks simultaneously.
- Attention to detail and accuracy in administrative tasks.
- Proficient in using computer software such as Microsoft Office (Word, Excel, Outlook).
- Ability to work well in a team and independently.
- Professional appearance and behavior.
- High school diploma or equivalent.
- Prior experience as a receptionist or in a customer service role is preferred but not required.
- Freshers are encouraged to apply.
- Ability to stand or sit for extended periods.
- Good manual dexterity for handling paperwork, operating office equipment, and typing.
