Job Description: NVIT anticipates a need for one full-time, ongoing Executive Assistant to the Chief Financial Officer at our Burnaby campus and invites applications from qualified individuals. This will be an exempt ongoing position commencing as soon as a suitable candidate is found. Job Summary: The position will assist in the oversight of Burnaby campus operations and provide administrative and analytical support to the Chief Financial Officer, the Marketing & Events office, the Dean's Offices, the President's office, and other Leadership Team members who may be on campus. The candidate must be organized and capable of working without direct supervision. The role will be responsible to use initiative and judgment in handling designated administrative matters; developing and maintaining effective relationships with members of the institute administration, faculty and staff; and representatives of other institutions and organizations. Duties may include preparing financial working papers and reports on an ad-hoc basis; providing support during the annual audit; preparing and reviewing various programming and funding proposals; processing required paperwork for transfer/affiliation agreements; providing support for other administrative areas; assisting with the planning and setup of campus events, development of promotional materials, scheduling and organizing meetings, appointments, and interviews; and ensuring the confidentiality of NVIT matters. In addition, the position will be responsible for assisting in the managing of day-to-day campus operations while providing support to the Chief Financial Officer as required. This position might be required to work during non-regular office hours and during weekends. Requirements/Qualifications: Relevant Bachelor's degree, or a combination of education and experience, with at least 3 years' confidential financial administrative support experience. Experience or enrolment in the CPA program is preferred; Intermediate accounting and/or bookkeeping skills; Demonstrable advanced skills using the Microsoft Office suite of applications (Word, Outlook, Excel and PowerPoint); Express oneself effectively both orally and in written form. Effectiveness includes consistently communicating plans and activities in a manner that supports strategies for engagement while actively listening to others; Experience reflective of the ability to successfully prioritize and organize workflow and multiple demands in a busy, fast-paced environment. This also includes responding effectively and relevantly to the needs of NVIT's internal and external community; Understand and, ideally, have experience with integrated systems (e.g. Colleague or Banner) along with SharePoint and Learning Management System (e.g. Moodle) experience; Experience recording meetings and following up with resulting task items and individuals who have been assigned task items; Excellent organizational skills and a demonstrated ability to work and creatively problem-solve independently; Knowledge of Indigenous culture As an Indigenous centre for excellence, NVIT inspires learners to strengthen community.NVIT gives high priority to Aboriginal candidates.
