HR/ADMINISTRATIVE ASSISTANT JOB RESPONSIBILITIES:

  1. Provides administrative support to ensure efficient operation of office.
  2. Answers phone calls, schedules meetings and supports visitors.
  3. Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  4. Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
  5. Exhibits polite and professional communication via phone, e-mail, and mail.
  6. Supports team by performing tasks related to organization and strong communication.
  7. Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  8. Provides information by answering questions and requests.
  9. Enhances the organization’s human resources by planning, implementing, and evaluating employee relations and human resources policies, programs, and practices.
  10. Maintains the work structure by updating job requirements and job descriptions for all positions.
  11. Supports organization staff by establishing a recruiting, testing, and interviewing program; counseling managers on candidate selection; conducting and analyzing exit interviews; and recommending changes.
  12. Prepares employees for assignments by establishing and conducting orientation and training programs.
  13. Ensures planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management conferences with employees; hearing and resolving employee grievances; and counseling employees and supervisors.
  14. Implements employee benefits programs and informs employees of benefits by studying and assessing benefit needs and trends; recommending benefit programs to management; directing the processing of benefit claims; obtaining and evaluating benefit contract bids; awarding benefit contracts; and designing and conducting educational programs on benefit programs.
  15. Ensures legal compliance by monitoring and implementing applicable human resource federal and state requirements, conducting investigations, maintaining records, and representing the organization at hearings.
  16. Enforces management guidelines by preparing, updating, and recommending human resource policies and procedures.
  17. Retains historical human resource records by designing a filing and retrieval system and keeping past and current records.
  18. Manages human resource staff by recruiting, selecting, orienting, and training employees.
  19. Processing payroll, which includes ensuring vacation and sick time are tracked in the system.
