Dsquares as one of the leading loyalty and rewards solutions' provider in MEA, working with many well-known clients such as Vodafone, Visa, Mastercard, Coca Cola, P&G, Exxon Mobil, Uber and many others is looking for an **Office Administrator **who'll be responsible for all office administrative tasks, ensuring the rest of the team is having the required support to work efficiently. He/She should be with a positive attitude, and thrive to work in a fast paced environment.**Duties & Responsibilities**:- Coordinate and oversee all office activities.- Ensure adherence to relevant company procedures and policies.- Provide day to day administrative support to the senior management.- Welcoming visitors and directing them to the relevant office/personnel.- Handle calls and all related correspondence.- Track stocks of office supplies and place orders when necessary.- Manage all business trips and/or travel requests for all upper management, with coordination with travel agencies if required.- Manage other travel requests if needed with bookings, transportation, and accommodation.- Manage budgeting, and expenses and follow up with accounts.- Coordinate and participate in office space planning, maintenance and renovations when necessary.- Assist colleagues whenever necessary.- Provide assistance with different budgeting and bookkeeping activities.- Keep databases in check and update them regularly.- Control the office supplies state and make sure it is in accordance with office needs.- Supervise cleaning crew and cleanliness of office space.- Create and present reports for senior managers.- Coordinating and managing appointments, meetings, and rooms schedule in order to prevent duplicate bookings.- Performing other relevant duties when needed.- 2-3 years of proven experience as an office administrator, office assistant or relevant role.- Outstanding communication and interpersonal abilities.- Excellent organizational and leadership skills.- Familiarity with office management procedures and basic accounting principles.- Excellent knowledge of MS Office and office management software.
