Job Purpose The role of a Procurement Officer/Administrator is responsible for overseeing and managing the purchasing activities of an organization, ensuring that all procurement processes are carried out in compliance with company policies and legal guidelines. The Procurement Officer/Administrator plays a pivotal role in sourcing materials and services, negotiating with suppliers, and contract management. Key Roles & Responsibilities

  • Developing and implementing procurement strategies that align with organizational objectives.
  • Conducting research on potential vendors and suppliers, and evaluating them based on price, quality, and delivery speed.
  • Preparing and managing purchase orders and contracts and maintaining detailed records of procurement activities.
  • Negotiating with suppliers to secure advantageous terms and monitoring their compliance with contractual terms and conditions.
  • Coordinating with internal departments to ensure proper communication and understanding of procurement needs and specifications.
  • Monitoring inventory levels and placing orders as needed to maintain adequate supplies.
  • Assisting in the preparation of budget reports and presenting cost analyses to management for decision-making purposes.
  • Verifying purchase orders and approving or rejecting requests as necessary.
  • Experience in procuring items like soft services, hard services, construction materials, machinery & equipment and other items.
  • Administering the implementation of procurement software or systems to streamline procurement processes.
  • Ensuring adherence to all regulatory and compliance mandates affecting procurement.
Education Qualifications and Certifications
  • A bachelor’s degree in supply chain management, business administration, engineering or a related field.
  • Professional certifications such as the Certified Purchasing Professional (CPP/CIPM) or Certified Supply Chain Professional (CSCP/CIPS) shall be added advantage.
Work Experience
  • Minimum experience of 3 years in procurement, supply chain and related field with real estate, construction and facility management industries.
  • Strong skills in negotiation, contract management and vendor management.
  • Proficiency in using procurement software like DRD, CRM or ERP.
