Business Specialist / EA at Land Information New Zealand, Wellington

12 Month Fixed term contract covering maternity leave providing seamless administrative support, planning, and advice to the People business group. We are looking for a fantastic Business Specialist/Executive Assistant supporting leaders in the People/HR business group at Toitū Te Whenua. You will play a central role providing end-to-end seamless, professional support, planning and advice. As a Business Specialist you'll be part of a great and collaborative team, reporting to the Leader – Business Management. Your experience in planning, administrative tasks and organisational skills mean you see potential challenges and risks before they become issues. You build collaborative and positive working relationships across the wider business and are an active member of the Business Specialist network. You are proactive and able to skilfully manage multiple deadlines and priorities to ensure the best outcome in each situation. You will also work alongside the People/HR team, including providing first-line support for employee inquiries via the HR email inbox. The People function supports a productive, thriving workforce that is skilled to deliver against Toitū Te Whenua's outcomes while also evolving it to meet future needs. They have a pivotal role to play in growing the strong, positive culture at Toitū Te Whenua. Our Business Specialist roles support the organisation through providing seamless administrative support, planning, and advice to a range of people and processes across our group, including Head of (Tier 3) and Leader (Tier 4) roles. This includes:
  • Arranging meetings and events
  • Booking travel
  • Catering
  • Setting up rooms
  • Identifying efficiencies and driving improvements
  • Building subject matter expertise across the group
You will also have the opportunity to support people related processes like recruitment and induction of new staff as well as supporting business planning and financial processes by administering team business plans and organising purchase orders and processing expense claims. We're looking for someone who has proven successful experience in administration roles, with super-star organising skills who will deliver proactive and customer-focused service. You'll have strong attention to detail and be able to prioritise tasks effectively to achieve multiple demands. A strong communicator with excellent verbal and written skills, you will be comfortable working with a range of peers and leaders. Having experienced a range of computer and technology systems, including the full suite of Microsoft Office products, your ability to adapt and learn our current systems and processes will be a key strength. As will be identifying and implementing any improvements in how we undertake our mahi. Prior experience in a People/HR team is advantageous, however not mandatory. The expected appointment range for this role is $74,000-80,000.
