Role Purpose: The jobholder is responsible to maintain a master document register for all project related files, documents, drawings, transmittal notes and correspondence with complete archiving of all completed projects. She/he also provides administrative support by coordinating all office management activities including handling information requests, drafting correspondence, receiving visitors/calls, managing incoming/outgoing mails, scheduling appointments and preparing presentations/reports. Key Accountabilities: Documentation Control

  1. Controls documentation produced internally and externally to ensure proper allocation and easy retrieval of important documents.
  2. Ensures that all documentation, drawings and specifications are up to date and at the correct revision.
  3. Maintains and distributes documents and comments according to the Project distribution matrix.
Administrative Support
  1. Receives and screens incoming calls and visitors, handles their inquiries, provides requested information and/or directs them to the appropriate person according to their needs.
  2. Reads and screens incoming correspondence; organizes and makes preliminary assessment of documents received; handles some matters personally and forwards materials to the manager and other team members as appropriate.
  3. Assists in preparation of presentations/reports by collating and compiling data, creating and modifying drafts in order to facilitate review by the line manager.
  4. Manages and maintains office supplies/consumables and equipment inventory. This includes coordinating with the Purchasing and IT Department (as appropriate) ensuring adequate stock levels are maintained and equipments are in proper condition at all times.
  5. Maintains team’s calendar by arranging for meetings/appointments. Prepares and circulates meeting agenda, invitations.
Experience: • 2 to 3 years experience in a similar role. Knowledge & Skills:
  1. Good working knowledge of Microsoft Office.
  2. Ability to prioritize and meet deadlines.
  3. Self discipline.
  4. High level inter-personal skills and the ability to interact with senior members of management.
  5. High level of computer literacy.
  6. Fluent in spoken and written English.
