Designation : Analyst Shift : 12pm-9:30 pm Experience : 1.5yrs-4yrs Key Responsibilities

  • This role requires a proactive individual who can efficiently manage daily responsibilities while contributing to continuous improvements in service delivery and operations.
  • Reporting Structure: This role reports to the CoE Service Delivery Lead/Functional Lead of Legal and Compliance and works closely with the Personal Assistant team based in Luxembourg , reporting to the client Europe Office Service Manager .
  • Support Senior Leadership: Provide support to meet the growing demands of Directors based onshore.
  • Diary Management: Organize and maintain Directors’ calendars to ensure efficient time management.
  • Meeting Coordination:
-Coordinate availabilities for various Directors to set meetings, focusing to Board Meetings , with quick response and fast turnaround as they are business priorities. -Coordinate with the Corporate Officers who organize the Board Meetings agenda. -Ensure timely scheduling and coordination of high-priority engagements.
  1. Team Collaboration: When required, act as a back-up for the onshore team during absences or when priorities shift across onshore/offshore teams. Work collaboratively with onshore and offshore colleagues to provide seamless support.
  2. Role Expansion: Over time, this role may involve additional support responsibilities as required.
  3. Workflow Optimization: Identify and resolve workflow issues.
  4. Suggest and implement process improvements in collaboration with the CoE Quality and Business Transformation team and relevant onshore contacts.
  5. Standard Operating Procedures (SOPs): Maintain and update the centralized CoE SOPs to reflect ongoing process improvement initiatives.
Desired Skills and Experience
  1. Language Skills
-English : Proficiency at C1 level or higher is a must have knowledge of French , German and other European languages is a plus.
  • Professional Experience:
-Minimum 2.5 years of experience as a personal assistant or in a similar role. -Previous experience supporting senior leadership, including Vice Presidents or higher levels, in multinational or high-paced organizations would be a plus. -Demonstrated ability to work effectively with European stakeholders , particularly in an international team environment involving multiple stakeholders.
  • Technical Skills: Proficient in Microsoft Outlook and Teams for scheduling and communication. In the specific, Outlook Calendar will be the main tool to manage.
-Familiarity with Microsoft Excel for reporting or data management is beneficial, but not mandatory. -Capable of delivering high-quality work with a fast turnaround , understanding the criticality of managing multiple complex calendars and coordinating meetings with busy stakeholders.
  • Soft Skills:
-Exceptional organizational skills and a highly structured approach to managing tasks. -Strong attention to detail , ensuring accuracy in all deliverables. Outstanding communication and interpersonal skills , fostering positive relationships with stakeholders. -Proactive approach , consistently identifying ways to add value and anticipating needs with minimal direction. - Energetic, enthusiastic , and a team player , contributing positively to the team dynamic, both in India and in Luxembourg or other regions. Additional Preferred Skills: High motivation and a sense of ownership, with a proven track record of driving tasks independently . Demonstrated ability to handle complex schedules, prioritize effectively, and adapt to fast-changing requirements .
