Gligx is a dynamic IT solutions provider specializing in web development, software development, cloud solutions, and digital marketing. We are seeking an energetic and capable Receptionist cum Office Administrator to assist us with office administration and front desk operations. This role is critical in ensuring smooth office functionality while providing excellent customer service. Key Responsibilities: Administrative Support: Reporting to management and performing general administrative duties. Processing, typing, editing, and formatting reports and documents. Filing documents, entering data, and maintaining databases accurately. Assisting in preparing quotations, purchase orders, pro forma invoices, tax invoices, and delivery notes. Reception Duties: Managing the front desk, greeting visitors, and handling incoming calls professionally. Routing calls, taking messages, and responding to inquiries promptly. Coordinating internal and external communications effectively. Office Management: Arranging and scheduling appointments, meetings, and events. Monitoring office supplies, ordering replacements, and ensuring proper maintenance of office equipment. Preparing facilities and arranging refreshments for events, if required. Employee Onboarding and Support: Providing new employees with all relevant documentation, including the employee handbook and paperwork for onboarding. Explaining office policies, procedures, and employee benefits to new hires. Additional Duties: Assisting with copying, scanning, faxing, emailing, and note-taking as required. Maintaining confidential information and filing it securely. Reminding employees of upcoming events or deadlines. Observing best business practices and professional etiquette. Performing other duties and responsibilities as assigned from time to time. Qualifications: Proven experience as a Receptionist, Office Administrator, or similar role. Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Proficiency in office software (e.g., MS Office Suite, Google Workspace). Ability to handle confidential information with discretion. Bachelor’s degree or diploma in Business Administration or a related field is preferred. What We Offer: Competitive salary package.
