Please read before applying to save your time. We are looking for a Secretary cum Receptionist for a temporary position of 1 month. Here’s a comprehensive list of daily duties: Front Office Management:
- Greet and welcome visitors with a professional and friendly demeanor.
- Answer and direct incoming phone calls promptly and courteously.
- Manage and route emails and other correspondence to the appropriate staff.
- Ensure the reception area is always tidy, organized, and presentable.
- Manage and schedule meetings, appointments, and conference calls for the team.
- Maintain and update office calendars, including reminders for deadlines and events.
- Prepare and distribute meeting agendas, minutes, and other related materials.
- Organize and maintain office files, records, and documents (digital and physical).
- Assist in preparing reports, presentations, and spreadsheets as requested.
- Coordinate with various departments for routine communication and updates.
- Assist HR and operations with travel bookings, visa applications, and hotel reservations.
- Handle inquiries from clients, visitors, and staff efficiently and professionally.
- Ensure guest logs and visitor passes are accurately maintained.
- Address customer or client concerns and escalate issues when needed.
- Monitor and order office supplies to ensure stock levels are adequate.
- Handle incoming and outgoing mail, courier packages, and deliveries.
- Ensure the meeting rooms are prepared for scheduled meetings.

- Maintain confidentiality of sensitive information at all times.
- Uphold professional behavior and appearance in all interactions.
