Job Summary:
We are seeking a highly organized and detail-oriented Secretary to provide administrative support to our team in Hiville Institute, Ayobo, Lagos.
The ideal candidate will have excellent communication skills, ability to maintain confidentiality, and be proficient in handling social media inquiries. Living in Ayobo, Lagos is a requirement for this role.
Key Responsibilities
Administrative Support
Manage and organize schedules, appointments, and meetings for the institute’s management.
Prepare and distribute correspondence, reports, and memos as required.
Maintain an efficient filing system for both physical and digital documents.
Reception Duties
Greet and assist visitors, clients, and students in a courteous and professional manner.
Answer and direct phone calls, emails, and inquiries promptly and accurately.
Monitor, manage, and respond to messages on the institute’s social media platforms (e.g., Facebook, Instagram, Twitter, etc.).
Escalate important or sensitive inquiries to the appropriate department or personnel.
Assist in maintaining a consistent and professional tone in all social media interactions.
Record-Keeping
Maintain records of staff, students, and institutional activities.
Handle registration processes, update student and faculty databases, and generate reports.
Support the execution of special projects or initiatives by the institute.
Perform other clerical and administrative tasks as assigned.
Qualifications and Requirements
Minimum of an OND in a reputable institution.
Proven experience in a secretarial or administrative role (1-2 years preferred).
Familiarity with social media platforms and basic knowledge of social media engagement.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic computer literacy.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Ability to maintain confidentiality and work with minimal supervision.
