As an Executive Board Assistant, you will play a key role in ensuring a smooth running of all the administrative projects. You will manage your own tasks and priorities independently and proactively seek ways of improving how we are operating.

What You'll Do:

  • Support the Board Members and perform administrative and operational tasks;
  • Manage calendars;
  • Organise business trips;
  • Support the Management Board members in daily duties;
  • Manage internal document flow process;
  • Allocate Management Board’s expenses in an internal system - if necessary;
  • Act as the point of contact for the Management Board Members;
  • Prepare presentations and all necessary documents - if requested by the Board Members;
  • Assist with special projects on behalf of the Board;
  • Work with local governmental institutions to help with VISAs processes and other work-related documents;
  • Take care of documentation workflow;
  • Perform administrative tasks related to onboarding and offboarding;
  • Implement and maintain procedures/office administrative systems;
  • Contact suppliers and vendors;
  • Ensure that health and safety policies are up to date;
  • Assist management in the deployment and monitoring of activities on organisational, logistical and administrative aspects;
  • Manage logistics for internal and external events, scheduling and execution (i.e.: Meet-up, holiday party, annual team development event & team building);
  • Cooperate with other departments globally.

Desired Skills and Experience:

  • At least a year of proven professional experience as an Executive Assistant, Executive Administrative Assistant or similar;
  • Experience in managing travel arrangements;
  • A strong sense of ownership & a sharp attention to detail;
  • Excellent communication skills, customer orientation and problem-solving ability;
  • Positive attitude, openness to challenges; work independently;
  • Discretion and confidentiality while managing sensitive company data and information;
  • Fluency in Google Workplace;
  • Experience in working with governmental institutions;
