Job Summary: PMD Formwork, a construction firm based in Galway, is seeking a highly organised and detail-oriented individual to join our team in a multifaceted role that combines bookkeeping, payroll, and administrative support. The successful candidate will be responsible for processing payroll, daily bookkeeping, and assisting with various administrative tasks. This is an excellent opportunity for someone who thrives in a dynamic environment and enjoys managing multiple responsibilities. Key Responsibilities: Bookkeeping:
- Maintain general ledger accounts, ensuring accuracy and compliance with accounting principles.
- Record financial transactions - accounts payable, cost allocation, receipts, fuel cards.
- Manage and track company expenses and ensure proper documentation.
- Ensure timely and accurate filing of documents and reports.
- Process payroll for all employees, ensuring accuracy and timely disbursements.
- Calculate and deduct employee taxes, benefits, and other withholdings.
- Prepare payroll reports, including deductions and tax filings.
- Ensure compliance with federal, state, and local payroll regulations.
- Handle employee inquiries related to payroll and compensation.
- Maintain and update employee records, including pay rates, deductions, and benefits.
- Manage and maintain accurate and up-to-date employee records, including personal information, employment history, tax forms, and benefits.
- Ensure employee data is stored securely and in compliance with data protection regulations.
- Update employee files regularly, including changes in roles, compensation, benefits, and contact information.
- Coordinate the onboarding process for new hires, ensuring all necessary documentation is completed.
- Assist in the offboarding process for departing employees, ensuring the proper documentation and exit procedures are followed.
- Provide general administrative support to ensure smooth office operations.
- Answer and direct phone calls, respond to emails, and assist with office correspondence.
- Assist with document preparation, filing, and record-keeping.
- Handle sensitive and confidential information with professionalism and discretion.
- Assist with special projects and ad-hoc tasks as required by management.
- Proven experience as a bookkeeper, payroll processor, and administrative assistant; construction background is an advantage.
- Solid understanding of accounting principles, payroll processes, and administrative procedures.
- Proficient in accounting software QuickBooks, Coll soft.
- Strong attention to detail, accuracy, and ability to meet deadlines.
- Excellent communication skills, both verbal and written.
- Strong organizational and time management skills with the ability to multitask.
- Ability to handle confidential information with discretion and professionalism.
- Basic knowledge of tax regulations and labour laws related to payroll.
