JOB PURPOSE:
- As the face and voice of the department the receptionist will act in a professional manner adhering to the highest level of customer service standards greeting clients and visitors to QDFC office. The person will be in charge of giving clients and visitors directions to various parts of the office, contacting the employees regarding the visitors, answering phones, screening of calls, taking messages, sorting and distributing mails, composing miscellaneous /general letters, preparing and controlling of documents, performing other ad-hoc administratve duties around the office as directed by the Management.
Operational
- Greet visitors with positive and helpful attitude, answer calls in professional manner, screen all incoming calls, transfer calls as necessary. Performs general administrative duties.
- Assist staff with their respective requests by coordinating with various departments of QDFC or other
- relevant division within the Group.
- Collection and distribution of all office documents to HO employees and/ or to Airport Admin / DC Admin,
- becoming the single point of contact for all walk-in staff, vendors & other guests.
- Handle incoming and outgoing mail from QR Mailing, Q Post or courier services.
- Maintain and update the logs in relevance, received and collected: Registered mails and Personal mails.
- Send daily letter records of reception updates to line manager.
- Track (daily & monthly) and reconcile uncollected letter / documents to identify extended delayed collection.
- Ensure to review case by case of these uncollected mail and reminders sent to the staff. Where delays are
- extensive - reconfirm with QDFC HR the status of employee.
- Ensure that uncollected mails are handed over to the staff in their next visit to the office.
- Follow up with other departments to ensure that requests are carried out and activities are coordinated.
- Ensure reception area is neat and clean at all times.
- Ensure mail sorting arrangements are consistently done to eliminate delays in registered letters collection.
- Ensure common printers are functional at all times. Raise ITSD / ITSR as required.
- team to maintain the internal and external service deliveries.
- In liaison with driver messenger and office assistant, ensure on time pick up and drop off of required
- items, at various QR facilities, Post Office, etc. as well as ad-hoc drop-off of management guests, suppliers
- Perform ad-hoc administrative duties as requested by the Management.
Additional Accountabilities
- Assist other administrative staff with overflow work, including word processing, data entry and
- internet research tasks.
- Review and answer mail, query and determine if action is required
- Respond and communicate with various departments for Admin support.
- Maintain proper filing and safekeeping of files
Personal Development

- Assist in the response to any emergency or a major operational disruption affecting Qatar Airways or its
- subsidiaries, including support of the Qatar Airways Special Assistance Program.
- Train Qatari staff in various duties as per business requirements
Qualifications
Qualifications and Experience:
Without a Degree:
- High School Qualification with Minimum 1 year of job-related experience
OR
With a Degree:
- Bachelor's Degree or Equivalent with No prior job-related work experience
Job Specific Skills:
Essential
- Command of English language
- Ability to foster teamwork among colleagues
Prefereed
- Written and spoken Arabic would be an advantage
