Key Responsibilities:
  • Conduct office management, ensure smooth running of all offices in North Asia.
  • General office administrative duties; replenish supplies and equipment as and when needed.
  • Manage office related contracts expiries & renewals, manage external service vendors, assist in formulating and implementing administration policies and procedures.
  • Responsible for HR matters including but not limited to recruitment, staff onboarding performance review co-ordination, staff benefits, offboarding etc.
  • Co-ordinate with Group HR and HR vendor to ensure compliance with local labor ordinances and group policies.
  • Maintain staff records and update HR system in a timely and accurate manner.
  • Arrange team building activities.
  • Ensure IT security policy is fully implemented per group policy and work with Group IT team and external vendor for office equipment.
  • Assist Head of Office to manage meeting schedules, preparation of letters, presentations and reports.
  • Oversight staff business travels, transportation/hotel booking and related insurance.
  • Co-ordinate with marketing officer for marketing material preparations, events and related matters.
  • Perform any ad-hoc duties as assigned by the management.
Qualifications:
  • Bachelor Degree in Business Administration/Human Resources/Facilities Management or related qualification.
  • With minimum 5 years office administration experience and with 2 years in managerial role.
  • Experiences in managing China offices and knowledge of China labor ordinance a plus.
  • Ability to manage and prioritize multiple tasks while meeting deadlines.
  • Self-initiatives, good interpersonal, communication and time management.
  • Proficiency in MS office software and Chinese typing.
  • Ability to work in a diversified and team environment.
  • Fluent in written and spoken English, Cantonese & Mandarin.
  • Candidates with less experience may consider as Assistant Office Manager.
