Essential Duties and Responsibilities
Ensure the fabric of the building internally is maintained and serviced to a high standard in accordance with the management contract and agreed budgets.
Responsible for all health and safety compliance onsite, including that of third-party services providers and maintenance records.
Act as the expert for all hard and soft services as applicable.
Develop and manage annual operating budgets, ensuring adherence to financial targets.
Collaborate with internal teams and external vendors to coordinate maintenance, repairs, and improvements.
Conduct regular inspections of properties to identify areas for improvement and ensure adherence to quality standards.
Implement and monitor preventive maintenance programs to enhance property longevity and performance.
Serve as the primary point of contact for client inquiries and concerns, addressing issues in a timely and professional manner.
Cultivate strong relationships with clients and colleagues to enhance workplace culture and operational effectiveness.
Prepare and present reports on operational performance, budget status, and service delivery metrics.
Regularly monitor key performance indicators and take remedial action as applicable to ensure the required standards are maintained and improved for all buildings.
Compile and maintain all required management information/records relating to company, health and safety and other related records, including asset register and emergency plans.
Ensure fire and other evacuations are carried out regularly in accordance with health and safety requirements.
Liaise with local authorities as appropriate.
Proactively manage risk and deal with insurance issues on site.
Support project/work programs on site, acting as the liaison point for all parties involved.
Produce management reports in accordance with the needs of the business.
Monitor FM works onsite and liaise with service providers/sub-contractors.
Foster a vibrant sense of community by creating "moments that matter" for colleagues and clients through engaging and proactive service.
Promote engagement at site with support to any additional services in alignment with the agreed SOW.
Act as the local point of contact/liaison for external contractors and consultants, monitoring contractors' on-site activities and reporting on inappropriate health and safety arrangements.
Prepare detailed reports of shortcomings in daily operational activities.
Lead the GAP analysis of the sites and prepare reports for the Facility Manager.
Prepare and maintain asset reports for all equipment and assets installed at the client site.
Responsible for preparing detailed reporting of shortcomings on a daily, weekly, and monthly basis.
Follow security and emergency procedures as defined for the property. Respond to emergency situations in a calm, efficient manner.
Formulate on-need SOPs with the approval of CBRE and GSK Local leadership to ensure transparency and service compliance.
Qualifications
Educated to Master's/Bachelor's degree level or equivalent - Technical qualification preferred.
Previous facilities management experience within a multi-let property environment.
Excellent customer service, interpersonal and communication skills.
IT literate, with understanding and experience of industry-specific IT Applications.
High degree of knowledge of Health and Safety legislation.
Strong analytical skills.
Ability to work within a team and independently in a pressurized environment.
Education and Experience
3 - 5 years of administrative or facility experience with on-hand knowledge of managing customer relationships.
