Our client, a leading US law firm, is wishing to recruit a Saudi national holding a law degree to work as a Legal Assistant to the Partners in client meetings, take minutes, as well as contribute by building client relationships. The role involves:

  1. Extensive and accurate diary management for all attorneys.
  2. Document production, including heavy amendments and formatting, track changes (if applicable) and working in multiple versions of documents.
  3. Arrange meetings, lunches, and dinners and follow up with confirmations.
  4. Complex travel arrangements, including flights, accommodation, visas, and transfers.
  5. Handle telephone queries and relay relevant messages accurately.
  6. Photocopying, printing, binding, scanning, and filing of original and electronic documents.
  7. Involvement in the billing process, including distribution of prebills, liaising with the partner and accounts department to finalize bills and send to clients in a timely manner.
  8. Timesheet entry for attorneys.
  9. Preparation of expense claims, invoice requests, and petty cash reports.
  10. Assist with the opening of new client files and new matters, including obtaining the necessary KYC documentation for every client.
  11. Input client development events and meetings into internal systems.
  12. Provide additional secretarial support for other partners/attorneys as required due to their secretary being absent.

  • Ability to prioritize and multi-task.
  • Ability to use own initiative, working independently and as a team member.
  • Proactive attitude with a good work ethic.
  • Excellent communication and organizational skills.
  • Friendly and approachable manner.
  • Strong Arabic and English language skills, both verbal and written.
  • Complete discretion and professionalism.
  • Willingness to build and improve secretarial skills.
  • Knowledge of administrative procedures.
  • Willingness to work overtime when required.
  • Able to work to tight deadlines.
