Job Description: We are looking for an HR Manager / Office Administrator. Please note that we will prefer a retired army officer for this job post. The candidate MUST have basic knowledge about accounts, Excel, and spreadsheets.ResponsibilitiesAdministration:Prepare administrative documents such as internal memos and letters upon request. Ensure that administrative procedures are implemented according to ACTED guidelines. In charge of premises contract making and/or renewal as requested by Coordination. Make regular visits to each department to ensure the proper understanding and implementation of ACTED administrative and HR procedures. Ensure office rules, regulations, processes, and procedures are in place at area offices.Filing:Maintain all administration files in the head office, including personal folders for every staff member. Ensure that no one has access to personal folders, except upon specific request from the Manager. Supervise HR/Admin Assistant for proper filing.Recruitment:Check emails/CVs of new candidates for recruitment. Set up shortlisting and interview panels, to be approved by Coordination. Check references of candidates upon request from Coordination. Inform candidates about the results of interviews and follow up on hiring successful candidates. Prepare employment contracts for new staff. Ensure that all staff, including those newly recruited, are in possession of and aware of ACTED guidelines and procedures as described in the HR Manual.Staff Follow-Up:Make sure all HR procedures are implemented according to ACTED guidelines and standards. Ensure that attendance sheets, leave request forms, and other required forms are maintained in the area office. Collect attendance sheets, leave request forms, and other required forms from the sub-offices on a monthly basis.Required SkillsWorking Hours: MORNING SHIFTQualification Required: BUSINESS ADMINISTRATION
