RESPONSIBILITIES Key Tasks
- Collaborate with Senior Leadership, Director and Associate Director to help generate the Clinical Operations Dept annual business plan, and be responsible for its execution.
- Responsible for driving the Operations Team revenues to ensure KPI’s & billable targets are met whilst controlling costs and non-billable time.
- Develop and implement divisional goals, objectives, procedures and reports which facilitate operational efficiency, high Quality and Productivity levels in line with organizational goals and objectives.
- Exercise control over SLA delivery metrics for document processing and queries in line with internal targets and client contractual expectations.
- Monitor and analyse operational data to identify areas for improvement and implement timely corrective action plans, working in collaboration with other senior leaders.
- Lead, direct and coordinate all activities of the Operations Team, including annual performance reviews and career development road-mapping/succession planning.
- Ensure the Operations Team members receive robust induction, on-boarding and on-going training in order to best support them to carry out their day to day role whilst complying with SOP’s, WI’s and global regulatory requirements.
- Work with cross functional teams including Customer Success, Project Specialists, Sales, Product, and IT; for the benefit of Clinical Operations Dept and the wider business
- Review RFP, CO’s, SOW’s and assist Sales and CS management on costs for the Operations Team/Projects.
- Assist in the writing and editing SOP’s to keep them current with process changes on department management, quality, and archival.
- Accountable for time management, reporting and performance metrics for global the Operations teams.
- Become an expert in various processing system platform features and functionality and work with senior Operation Leaders and Product Development to recommend new features and functionalities to improve the product and reduce manual activities.
- Mentor the Operations Team to support operational excellence and embrace high impact process improvements/optimization, working in collaboration with colleagues across the division.
- Take a proactive role in learning about clients’ industry, business needs and company culture, in-turn educating the Operations team, in same.
- Travel up to 25% internationally as required for training of staff, client audits, client and industry meetings.
- Highly self-motivated leader with the ability to inspire others to maximise their potential
- Ability to troubleshoot, problem solve and provide solutions in a dynamic fast paced environment
- Superior written and spoken communication skills in English
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). In particular the ability to manipulate and analyse data and present in easily understood formats to support decision making.
- Minimum Bachelor’s Degree from a 4-year college or equivalent
- Demonstrable track record of ‘hands-on’ operational leadership and management
- Experience of successfully managing change in an operational environment
- Demonstrates a strong flair for innovation to ensure continuous process improvement
- Excellent commercial awareness and business acumen
- Able to multitask in a fast-paced environment
- Work well with people from a variety of different backgrounds and cultures
- Build relationships with clients and co-workers
- Can work independently and as part of a team
- Strong knowledge of technology will be seen as an advantage
- Prior experience of leading teams within a life sciences environment would be welcome but not necessarily seen as an advantage
