Responsibilities: Source for accommodations and deal with housing agents or dormitory operators including negotiation for the best rental and renewals. Manage assignments of housing or dormitories with Area/Operations Managers to achieve and optimise occupancy rates. Control, manage, and optimise all costs and expenses management with Area/Operations Managers. Coordinate and liaise with HR Business Partner (HRBP) and/or Area/Operations Manager on all accommodation matters and issues. Brief tenants on house rules, terms and conditions, and proper maintenance of accommodation during tenure. Provide a schedule and be involved in quarterly inspections of foreign workers’ accommodation with Operations, preparing reports, and submitting to Area/Operations Managers, Operations Director, and Head, HR/HR Manager. Take disciplinary action against non-compliance, if necessary, with Area/Operations Manager. Prepare payment requests for housing deposits, rental for renewals or new units, and for any handyman if repairs are required through HRBP. Notify tenants to pay for utilities and show proof of payment to the landlord on a monthly basis. Assist in opening of new SP accounts for new properties. Assist in reviewing tenancy agreements with housing agencies, including meeting the landlord to update the HDB portal through HRBP when there are changes in workers' particulars, and getting endorsement of agreements by Area/Operations Manager before seeking approval from Head, HR & Admin. Assist in stamping of tenancy agreements for all units through Housing Agencies. Handle and take over properties, including taking videos and photos of the property. Arrange to purchase mattresses with bed frames for tenants, including preparation of payment requests with Finance. Arrange cleaning if tenants did not clear up after moving out, including preparation of payment requests with Finance. Arrange disposal of leftover items that tenants did not clear up after moving out, including preparation of payment requests or processing any deductions from the deposit by the landlord, and back charge to the operations site. Safekeeping of landlord keys in the key press, including assisting to provide keys to tenants in the event of lost keys. Preparation of service charge fees for tenants who request replacement of lost keys through HRBP. Position Requirements: Knowledge of on and off-boarding of dormitories and housing. Active listening skills and commitment to understanding stakeholders’ points of view. Ability to communicate complex housing choices to internal stakeholders and process challenges. Ability to maintain a non-judgmental, non-reactionary, and non-defensive communication style during challenging discussions. Exceptional personal skills that permit the candidate to work with a diverse community and build collaborative relationships with a variety of stakeholders. Critical thinking skills that enable the candidate to make sound judgments in developing and time-sensitive situations. Ability to responsibly prioritize competing tasks while following through in a timely manner. Ability to meticulously follow proper record-keeping/reporting protocols. Ability to follow direction from the HR Manager or Area Manager. Ability and desire to work cooperatively as a team with all stakeholders.
