Position Title: Facility Manager Department: Facilities Management Reports To: Director of Operations Location: Bangalore Employment Type: [Full-time] Job Overview: The Facility Manager is responsible for overseeing the day-to-day operations of a facility, ensuring the environment is safe, functional, and well-maintained for employees, visitors, and clients. This role includes managing building systems, maintenance, safety protocols, space planning, vendor relationships, and ensuring compliance with health and safety regulations. Key Responsibilities:
- Facility Operations and Maintenance:
- Oversee the maintenance and upkeep of all facility systems (HVAC, electrical, plumbing, elevators, etc.).
- Coordinate routine preventive maintenance and emergency repairs.
- Ensure facilities are clean, safe, and operational at all times.
- Manage and track facility-related work orders and maintenance requests.
- Vendor and Contractor Management:
- Manage relationships with external contractors and service providers (cleaning, landscaping, security, etc.).
- Negotiate contracts and ensure compliance with service level agreements (SLAs).
- Evaluate vendor performance and handle issue resolution.
- Space Planning and Optimization:
- Plan and allocate office and workspaces efficiently to meet the needs of staff and departments.
- Assist in the setup and teardown of workstations, offices, and meeting rooms.
- Monitor space usage and make recommendations for improvements or adjustments as necessary.
- Health and Safety Compliance:
- Ensure the facility complies with all relevant health and safety regulations.
- Conduct regular safety inspections and risk assessments.
- Oversee the development and implementation of emergency procedures, including fire drills, evacuations, and first aid protocols.
- Budgeting and Cost Control:
- Develop and manage the facility maintenance budget.
- Track expenses and identify opportunities for cost-saving improvements.
- Ensure efficient use of resources and compliance with budget guidelines.
- Sustainability Initiatives:
- Implement and promote sustainable practices within the facility (energy efficiency, waste management, recycling, etc.).
- Stay up to date with green building standards and eco-friendly initiatives.
- Security and Access Control:
- Oversee the facility’s security systems, including surveillance cameras, access control, and alarm systems.
- Manage the issuance of security badges and keys for employees and visitors.
- Respond to security incidents or breaches and coordinate with law enforcement if necessary.
- Communication and Reporting:
- Communicate facility-related updates, issues, and improvements to management and other stakeholders.
- Prepare and present regular reports on facility performance, maintenance issues, and budget tracking.
- Bachelor’s degree in Facility Management, Business Administration, Engineering, or a related field (or equivalent experience).
- Proven experience 10 to 15 years in facilities management or a related field.
- Strong knowledge of building systems and maintenance operations.
- Ability to manage multiple projects and prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Proficiency with facility management software and MS Office Suite.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Familiarity with relevant regulations, including OSHA and local building codes.
- Facility Management certification (e.g., IFMA’s CFM, BOMA, or LEED).
- Experience with budgeting and cost control.
