The Secretary for the Head of Legal is responsible for providing comprehensive administrative support to the Legal Director and the legal department. The role requires an organized and detail-oriented individual capable of managing confidential information, coordinating schedules, and assisting with legal documentation. The ideal candidate will possess strong communication skills, be proactive, and demonstrate discretion when handling sensitive matters.Key Responsibilities:Administrative Support:Manage the Legal Director's calendar, including scheduling and coordinating meetings, calls, and appointments.Organize and maintain the Legal Director's files, records, and correspondence.Prepare and proofread legal documents, contracts, and reports as required by the Legal Director.Assist in the preparation of presentations and other materials for internal and external meetings.Correspondence Management:Handle incoming and outgoing communications (emails, letters, phone calls) with a high level of professionalism and discretion.Draft, edit, and proofread letters and other correspondence on behalf of the Legal Director.Meeting and Event Coordination:Organize meetings, conferences, and events involving the Legal Director, including logistics, meeting rooms, catering, and materials.Take minutes during meetings and ensure timely distribution of notes and action items.Document and File Management:Maintain and organize legal documents, contracts, and other confidential information.Assist in the preparation and review of legal documents to ensure accuracy and compliance with company policies and regulations.Research and Reporting:Conduct basic legal research or gather relevant information as needed by the Legal Director or legal team.Assist in the preparation of reports, compliance documents, or legal filings.Education: Bachelor's degree in legal studies, Business Administration, or a related field is a plus.Experience: Previous experience in a legal or administrative support role is a must.
