The position is responsible for providing full HR administrative assistance from onboarding to exit for all upcoming, present, and departing employees. This role serves as the primary contact for any HR-related transactional queries, ensuring proper coordination and facilitation of all requests to foster a positive employee experience at AAM.

Responsibilities:

Receive, record, coordinate, and issue all types of employee-related administrative requests, ensuring they are handled in accordance with approved timelines and service level agreements.

Handle all e-government transactions related to the employee life cycle, including visa processing, visa transfers, work permits, employment contracts, exit permits, and all immigration processes required during an employee's tenure.

Arrange separation formalities for all employees, ensuring necessary documents are issued accordingly and within approved timelines. Assist the line manager in the employee separation/termination process.

Manage business travel arrangements and bookings, including flights, hotels, and transport for all business units across AAM.

Safeguard AAM official documents and update them as needed, ensuring compliance.

Maintain documentation of all employee disciplinary actions to ensure compliance with AAM's policies and procedures, issuing letters if required.

Organize and maintain personnel records and employee files. Update the internal database (SAP) for consistency and reliability of records, ensuring all relevant documents are electronically and manually saved and archived.

Work with the line manager on timely policy review processes and recommend changes/updates as per the organization's needs.

Administer probation assessments for all AAM staff regarding work performance, conduct, and attendance, maintaining proper documentation.

Reflect AAM's values in the way you work and abide by policies and procedures to ensure a safe, healthy, and inclusive work environment.

Engage in efforts supporting the continuous improvement of service delivery in the department to ensure an overall positive employee experience.

SkillsRequirements:

Minimum of 4 years of experience, with a background in handling employee files and government-related documents such as those from the Ministry of Immigration (MOI) and Ministry of Labor (MOL).

Proficient in using software/applications for day-to-day tasks.

Bilingual (Arabic & English) is required due to the nature of the job.
